How to create a ruler for the Performance Evaluation?

In this article, you will learn how to create rulers to be used in a performance evaluation.

When setting up the performance evaluation review cycle, you can use Elofy’s default rules or customize your own rules.

There are 3 default Elofy rulers for the review cycle, which have the following definitions:

  • Standard ruler 1-4: 1 (not shown), 2 (in development), 3 (within expectations) and 4 (exceeds expectations)

  • Standard ruler 1-5: 1 (not acceptable), 2 (unsatisfactory), 3 (satisfactory), 4 (very good), 5 (excellent)

  • Standard ruler 1-3: 1 (in development), 2 (consolidated), 3 (reference)

If you want to create your own custom ruler, just follow the steps below.

Step 01

Go to Settings > Manage Scales.

Step 02

Click on + Create Rule.

Step 03

Fill in the basic information, following the instructions below:

  • Ruler Name: Set a ruler name.

  • Ruler Size: Choose your ruler size, in other words, the scale between 1 to 7 (number of points on the ruler).

  • Status: Enable the ruler if you want it to be available for use.

Step 04

After filling in the basic information, you can start building your ruler.

In the General tab, you can start defining the ruler's points according to the number you have chosen on the scale.

  1. Score: Enter here the position it is in. For example: First point of the ruler = Score 1.

  2. Name: Define the name of the point that is being set. You can include up to 100 characters for each ruler name.

  3. Minimum value: Enter the minimum value of the point. For example: the point score is 2, but it will actually be from 1.51 to 2.5, so the minimum value is 1.51.

    NOTE - The difference between the minimum value and the maximum value of the previous point should be 0.01.

  4. Maximum Value: Enter the maximum value of the point. For example: the point score is 2, but it will actually be from 1.51 to 2.5, so the maximum value is 2.5.

  5. Application: This option should be used when you have to choose whether it will be considered in the average calculations or not.

    • When selecting a score as "apply?", in extra tab, the option "hide items not applicable from individual performance reports and PDF" will appear, as shown in the image below:

      When activating this option, if in an item, all evaluators mark the score that is flagged with "not applicable", the item will not be displayed on the following screens:

      • Individual performance report screen;

      • PDF of results;

      • Calibration screen;

      • Excel exported on results and calibration screen.

      This way, preventing screens from bringing up multiple items with Y/N, allowing users to focus on what is needed.

In the Extra tab you can define a few more settings and customize your ruler:

  1. Legend name: You can enter a legend for the field that will be displayed when the employee hovers the mouse over it, as follows:

  2. Color: You can define which color corresponds to a specific point, which will be displayed in the performance evaluation. If you do not choose any color, it will remain at Elofy’s default.

  3. Comment: Check the box if the comment is mandatory to that specific rule point.

    NOTE - The mandatory comment field must also be enabled in the cycle settings.

You can set up all the ruler points according to the ruler to be used in the performance evaluation.

Step 05

In addition to the basic settings, you can also configure some advanced options for your ruler.

  • Option 1: If you want both the minimum and maximum limits of the ruler to be visible during the evaluation, tick this option.

    This will appear as follows: The intervals will be displayed right below the concept.

  • Option 2: If you want to enable the option to choose an exact value within the ranges, tick this option.

    For example: I have chosen the point "4" that corresponds to the score 4 and has limits from 3.51 to 4.5, however, I want to indicate that the grade I want to give for this point is exactly 4.4.

    This will appear as follows: An extra box will be displayed next to the ruler so that the employee can enter the evaluation value.

IMPORTANT

Once the rule has been created and used in an open cycle, the score value must never be changed. If you need to change a rule from one cycle to another, you must create a new rule for this new cycle.
