One-on-one is a conversation between two people to address a topic that is demanding attention or even to get more in-depth feedback.

If you are a platform administrator user, remember that users will only be able to schedule or register a 1-1, when a questionnaire (template) is registered. So if you haven't seen this step yet, read more here.

This article is divided into four parts. Click on one of the options below to go straight to what you want to read:

➡️How to record one-on-one conversations

Both registering and scheduling a 1-1 happen on the same screen. The record serves for conversations that took place, without prior scheduling within the platform. For example, if you talked with your subordinate during lunch the day before, you can record the conversation to leave a history of the topics covered.

Step 01

Click “+” > 1-1 Meetings:

Please fill in the information as follows:

  1. Register One-on-one: Choose the option Register One-on-one;

  2. Template: Choose the template that best fits your conversation;

  3. Reason: Explain the reason for the one-on-one conversation (optional);

  4. User: Define who participated in the one-on-one conversation (only one person can be selected each time);

  5. Go to One-on-one: Go to the one-on-one details screen.

Step 03

Once you have done this, you will be redirected to the One-on-one conversation screen:

  1. Our latest One-on-one conversations: History of the one-on-one conversations you have had with the selected person. They are listed from newest to oldest, providing a quick query access;

  2. Finish: After registering the Talking Points, you can click Finish to end the one-on-one;

  3. Talking points: The topics included in the template used. You can delete those that are not useful for the one-on-one and add new points that have been mentioned:

    • You can include notes in the Talking Points with records of what was discussed in the conversation. If you feel it is necessary, you can also delete a note to write something new.

    • When you finish recording a Talking Point, click on the “Done” box to complete it.

  4. Access to general conversation and participant user data:

    • In the general data tab, you can see the reason for the registration of the 1-1, the date and time it took place (cannot be modified in this case), who the participants are and also the possibility of sharing the conversation with other users or to link it to a performance appraisal:

    • And in the "other data" tab, it is possible to access the information of the user participating in the conversation you registered, but this according to the access profile (OKRs, Feedbacks, Feelings, PDIs, Initiatives and your private notes about him).

📍Action Plans:

When you record the One-on-one Conversation, you will see the option to add action plans based on what you have agreed with the employee, establishing responsible parties and deadlines:

You also have the option to make supplementary notes regarding the conversation, such as one-on-one overall records. The supplementary notes can be public and the other participant will be able to see them, or private and no one will have access to them, including your manager or admin users.

IMPORTANT: When you click New+ to add notes about the conversation, by default your note is set to public. Don’t forget to change this if you want a private note.

* You can delette your notes if you want.

After you have done the registration, click Finish to save your one-on-on in the conversation history.


➡️How to schedule one-on-one conversations

Both registering and scheduling a 1-1 happen on the same screen. But unlike registration, in scheduling you schedule future conversations that you will have with the participating user.

Step 01

Click “+” > 1-1 Meetings:

Please fill in the information as follows:

  1. Schedule one-on-one: Select the schedule one-on-one option;

  2. Proposed date: Set the date that the one-on-one will take place;

  3. Hour and minutes: Set the time that the one-on-one will take place;

  4. Duration: Establish how long the one-on-one will last;

  5. Template: Choose the template you want to create;

  6. Reason: Explain the reason for the one-on-one conversation (optional);

  7. User: Define who participated in the one-on-one conversation (only one person can be selected each time);

  8. Go to One-on-one: Go to the one-on-one details screen.

Step 03

After creating and going to your one-on-one, you will have access to the screen in draft mode. At this point you can review the Talking Points of the chosen template. You can also delete Talking Points that are not useful and add new topics that you want to address with the guest.

Step 04

After the review is complete, send the schedule to the guest to allow them to be prepared for the one-on-one.

Step 05

When you send the schedule, the guest will receive an email with the one-on-one invitation. By doing so, the guest will be able to add the conversation to Google Calendar (or Outlook) and reserve a time for the conversation.

Example on Google Calendar:

*The e-mail will only be sent if sending e-mails is enabled in settings > company > e-mails.

In addition to the email, the guest will also receive a notification in the Elofy notification bell and an invitation pendency in the pendency section of the home screen. In either case, the guest can click on that and be directed to the one-on-one conversation.

Step 06

At this point, the guest will be able to see what you want to discuss in the conversation and add the topics they also want to discuss.

Remember that the guest will not be able to delete topics that you have added, but only add new talking points, if they want to.

Step 07

After finishing the review, the guest will be able to accept the one-on-one conversation.

Before accepting the invitation, the participating user can modify the date and time of the conversation. But after clicking on "accept agenda", this will no longer be possible.

Step 08

When the one-on-one conversation is accepted, the invitation is removed from the general pending items section and the schedule will be shown in the "Conversations Scheduled for This Week" section, and thus you and the participant will not forget that both of you have a one-on-one scheduled.

Remember that only the one-on-one conversations for that week will be shown. Therefore, if you have a conversation for the next month, for example, it will only appear in this section of the home screen during the week in which it was scheduled.

Step 09

Once both of you have accepted the schedule, the day of the conversation has arrived. At this point, you and the participant can record notes on each topic discussed, add new talking points if necessary, and record future action plans and comments.

➡️Other one-on-one conversations features

So far, we have described how recorded and scheduled one-on-one conversations work. But in both cases, there are some features that make the conversation easier.

1. On the left side of the screen, you will find the history of all one-on-one conversations you have ever had with that particular user, listed from the newest to the oldest conversation.

2. In the middle of the screen, you will find the talking points that were discussed and the notes that were recorded. In order to make your analysis easier, you can expand the records to get an overview of what was discussed.

After that, as mentioned, you can see the section on action plans and supplementary notes.

3. On the right side of the screen, you will find the main information about 1-1 and private data about the participant.

In the general information section, you can view the reason for the 1-1, the status it is in (draft, accepted or completed), the date, time and duration, in the latter case, only in future appointments.

We remind you that the date and time can only be changed in bookings not yet accepted.

For a 1-1, it is possible to add a grouping tag, this will help when filtering your conversations.

Another important feature is the possibility of sharing one-on-one conversations with other employees in the company. In this way, if you believe that the topics discussed are of interest to another user, you can send the record of the one-on-one to them.

You can also link the conversation with a performance review to record that the 1-1 took place to align performance results with the participant.

If you are the participant's Manager and have sent a youtime post-evaluation, it will be possible to view it within the 1-1, facilitating the moment of conversation.

4. On the second tab, you will find the guest information to get an overview of the main indicators that will support the conversation. In this view, two points are important to note.

  • First, the data is directly related to the features activated within the platform. Thus, if the PDI module is not used by your company, this part will not appear on this screen.

  • Second, to view all participant data, you must have a manager or administrator profile within the platform. If the conversation is between two collaborators, it will only be possible to access public or shared OKRs and feedback exchanges between conversation users (and your private notes about the participant).


➡️How to edit one-on-one conversations

When an agenda is finalized, you can still add notes to talking points, but you cannot delete or add new topics other than registered ones.

In addition, it is also possible to create action plans (or edit and delete the existing ones) and also edit the registered notes (without the possibility of creating new ones).
