How to send and accept Youtime?

In this article, you will learn how to use a You Time questionnaire in the Performance Evaluation.

The You Time is used for a conversation between the Manager and the Employee after a performance evaluation.

It is similar to the one-on-one conversation, however, it has a different flow because it requires an acknowledgement of receipt by the employee.

The Youtime can be sent after the questionnaire is created by the administrator user.

To send the Youtime, you must have access to the career tab to see the evaluations of your teammates. Learn more about profiles by clicking here.

> For the manager profile, go to Settings>Profiles>Manager > Careers Tab. On the screen, enable the "view" and "edit" options, according to the access to the employees and then save it.

> For the administrator profile, go to Settings>Profiles>Administrator> Careers Tab. On the screen, enable the " view" and " edit" options for the entire company, in career and results and calibration.

How to send a Youtime?

There are two different methods of sending Youtime to the user: via the career screen or the results and calibration screen, both in career.

NOTE - The Youtime submission must be within the period of beginning and end of the cycle so that the employee can receive in pending items.

Step 01

Go to Career > Career.

Step 02

In career, find the intended user, you can apply filters to make your search easier or search by employee's name.

Click on the Youtime icon.

  • Gray icon: the Youtime has not been sent yet.

  • Pink icon: the Youtime has been sent, but not confirmed by the user.

  • Blue icon: the Youtime has been sent and confirmed by the user.

Step 03

A pop-up will be displayed with the created questionnaire. Answer the questions, according to the employee's result, and click on save.

How to accept Youtime: Employee?

Step 01

The employee will receive the Youtime on the My Vision screen, under "pending items", as shown in the image below:

Step 02

By clicking ‘view’, a pop-up will be displayed with the Manager's feedback on the results of the Performance Evaluation. You must click "confirm" to accept the Youtime.

Step 03

Once you confirm, the Youtime will appear in the pending items for review.

Linking a Youtime to one-on-one conversations

Once the Performance Appraisal is done and the Youtime is sent, it is recommended to perform a one-on-one conversation with the employee to talk about the results. To do so, you can link the one-on-one with the intended cycle and thus have access to the Youtime.

Step 01

Register or schedule a 1: One-on-One conversation. To learn more about this process, click here.

Step 02

In the one-on-one conversation, link it to a performance evaluation in the general data tab, located on the right side.

Step 03

By linking the One-on-One to an evaluation, the You Time conversation that was accepted by the employee will automatically appear.

NOTE - Only the employee's direct manager can link the Youtime to the One-on-One conversation. Additionally, in the case of a change of leadership, the old leader will lose visibility of the linked Youtime history and the new direct leader will have this visualization.

Step 04

Click on You Time to access the questionnaire.
